Depot Boiler Replacement ProjectAGENDA ITEM MEETING DATE: January 14, 2020 TO: Honorable Mayor and Council Members FROM: Bret Albert, Fleet/Facilities Manager '[�QV✓ SUBJECT: Depot Boiler Replacement Project / APPROVED BY �J Jeff Loux, Town Manager RECOMMENDATION: Council approve an amendment to the FY 19/20 Energy Efficiency Initiatives Capital Improvement Project C1910 -Depot Projects in the amount of $84,000. DISCUSSION: During the Bummer and early Fall of 2019, Town staff worked with a mechanical engineer and a contractor to replace the 25+ year old boiler system located in the Truckee Depot. The mechanical engineer (Aspen Engineering) started the design process in April of 2019 and the contractor (Ray Heating and Plumbing) was the successful bidder on the project at the beginning of May 2019. The total project cost was $84,000. For budgeting purposes, it was assumed that $46,500 worth of the boiler system replacement would occur prior to the start of the FY19/20 budget cycle which began on July 1, 2019, However, the actual installation of the new boiler did not begin until after July 1, 2019, so the entirety of the $84,000 project cost was incurred in FY 19120. Also, due to an error that occurred in the budget process, the $37,500 balance of the project funding was not included in the FY 19120 budget as staff had intended. As a result, staff is recommending that the FY 19120 budget for this project be set at $84,000. FISCAL IMPACT: Amend the FY19/20 CIP C1910 -Energy Efficiency Initiatives -Depot Projects in the amount of $84,000 for the entire cost of the design and installation of the Depot boiler system.
